What actually happens between a lead's first message and a qualified conversation reaching you — explained at the level a coach needs, without the jargon and without publishing anything private.
Ayush AI Automation designs, configures, builds and manages DM conversation systems for fitness coaches on Instagram and WhatsApp. It isn't an AI reply box bolted onto your inbox, and it isn't a platform you're handed and left to set up. Each system is configured around the coach's business and conversation requirements, then run as a managed service every month.
At a public level, this is the path every enquiry takes:
This structure follows the F.I.T. DM Funnel Framework — Filter, Influence, Transfer. Which steps run depends on the product: Basic stops at answering and handoff, and the qualifying products run the full journey. The products page maps exactly which product does what.
Rule-based automation matches keywords and buttons. That works well when every lead asks the same few things. Coaching leads usually don't: they write in full sentences, mix two questions into one message, and bring up things no keyword anticipated — "I've tried online coaching before and it didn't stick, is yours different?"
An AI Agent reads the message itself rather than scanning it for a trigger word. It works out what's being asked, answers from your knowledge, and keeps the conversation moving in the direction you've configured. Replies are automatic and usually land within seconds, though no hard response time is promised on someone else's platform.
Varied wording, messy or out-of-order answers, slang, questions buried inside longer messages, and the objections coaching leads actually raise.
It doesn't invent answers, run your sales call, message people who never contacted you, or pretend to know things you didn't give it.
On Business, WhatsApp Personal Assistant and Fusion Max, a lead who sends several short messages in a row gets one combined reply instead of three separate ones.
During setup, your onboarding answers become the knowledge layer the agent works from. That includes your offer and programs, what each program includes, your pricing and how you want it presented, who you do and don't work with, your most common questions and your answers, your objection answers in your own words, your tone, and the phrases you never want used.
This is why the agent sounds like your business rather than a generic assistant. It is also why it can say "I'll confirm that for you" instead of guessing when something falls outside what it was given.
Qualification questions, the point at which your booking link is released, follow-up wording and handoff behaviour are all configured here too. Changing them later is an edit, not a rebuild.
Every AI product keeps relevant context across recent messages. It picks up the lead's name naturally, remembers what was already covered, and won't repeat information it has already given. Higher capability plans handle context more deeply — combining rapid messages and treating voice notes as part of the same conversation.
On Fusion and Fusion Max, context carries across channels. A lead who starts on Instagram and moves to WhatsApp is recognised, and the questions they already answered aren't asked again.
Qualification is the Filter stage of F.I.T. The questions are yours — goal, timeline, readiness, budget, or whatever matters for your offer. The agent asks permission once so it doesn't feel like an interrogation, then asks your questions one at a time, in your order, never as a list.
Leads rarely answer neatly. Someone might give their goal and timeline in one message, or answer question three before question two. The agent understands messy, slang and out-of-order answers and records them against the right question.
hey how much is ur coaching
Hi! Happy to explain. The price depends on which program fits you best — mind if I ask a couple of quick questions first?
sure. i want to lose around 8 kg before my wedding in april
Congratulations! That gives us a clear goal and timeline. Have you worked with a coach before?
Goal and timeline recorded from one message · next question asked
Basic doesn't qualify. It answers enquiries accurately and hands over, which is exactly right when you don't yet need qualification.
Two boundaries keep conversations clean:
Nobody gets asked their goal three times, and nobody gets a price you never quoted.
Every AI product records each conversation as a structured lead record — CRM-style lead management built around how coaching enquiries actually work, rather than a generic contact list. Depending on the product, a record can hold:
Name as the lead gives it, their username, and a contact identifier or number where the channel provides one.
The answer to each of your questions, locked once given.
Where the lead is: answering, qualifying, qualified, link sent, following up or handed to you.
Relevant conversation history, so the next message — or you — has the full picture.
You don't get raw access to the backend, and you don't need it. By default you receive the useful part: the lead's username, relevant chat logs, a concise lead summary, the useful lead details and a contact number where applicable. More specific lead data can be provided where appropriate. On Business, WhatsApp Personal Assistant and Fusion Max, lead data is also cleaned before it's recorded and kept in a flat view that can be sorted and exported.
Lead data is cleared from the active system on a regular cycle. The Privacy Policy explains how retention works.
Plenty of fitness leads would rather talk than type. On Business and Fusion Max, a voice note is handled like any typed message:
A voice note can answer a qualification question just like a typed reply. The agent replies in text and doesn't send generated voice messages. Voice handling isn't included in Basic, Pro, WhatsApp Personal Assistant or Fusion. If voice matters to your audience, see Business and Fusion Max.
Most leads don't decide in one sitting. Qualifying products run configured follow-up sequences for leads who go quiet, matched to where the conversation stopped. There are two kinds:
Pro, WhatsApp Personal Assistant, Fusion. Messages you approve in advance. The system sends the one that matches the lead's stage.
Business, Fusion Max. Written fresh for each lead, referencing what that person actually said. These replace template follow-ups rather than running alongside them.
Whichever type runs, the same rules apply:
Basic doesn't send follow-ups.
When a lead asks to speak to a real person, the agent stops replying in that conversation and leaves it with you. It also cancels any follow-ups it had queued for that lead, so nobody gets an automated nudge in the middle of a conversation with you. The agent doesn't resume that thread on its own.
This is where a lot of automation goes wrong, which is why every AI product has it and every build is tested for it before launch.
Transfer is the final stage of F.I.T. The booking destination you provide — a scheduling link, a form, or your own WhatsApp — goes out once, and only after a lead qualifies. Anyone who already has the link isn't sent it again.
To be precise about what this is: the system sends your link. It doesn't read or write your calendar, check real-time availability or reserve slots. The link itself handles availability. On Fusion and Fusion Max, a qualified Instagram lead can instead be moved to WhatsApp to complete booking, configured to how you work.
A qualified lead who has just received your booking link is the warmest lead you have. Hot lead alerts make sure you know about them straight away:
The alert contains structured lead information, a short summary of the lead and the useful context from the conversation, so you can decide whether to reach out personally. It goes to the email address you choose during onboarding, and that address can be changed.
A hot lead alert isn't a booking confirmation. The system hasn't checked your calendar, and a lead isn't recorded as booked just because the link was sent.
No. A chatbot answers a message. This is a configured DM conversation system: it answers from your business knowledge, keeps track of each lead, runs your qualification, decides when your booking link is released, follows up, hands over to you on request and records every lead. Which of those it does depends on the product.
It doesn't make an answer up. It tells the lead you'll confirm, so you can reply personally.
No. On Business and Fusion Max it understands voice notes and replies in text. No product sends generated voice replies.
No. It means the lead qualified and received your booking link. The system doesn't see your calendar, so it never marks a lead as booked just because the link went out.
Yes, in a usable form: the lead's username, relevant chat logs, a short summary, useful details and a contact number where the channel provides one. More specific data can be provided where appropriate. You don't get raw access to the backend.
Yes. Questions, knowledge answers, tone and follow-up wording can be adjusted as your offer changes. That's part of the monthly service.
