How a managed DM conversation system compares with the other ways coaches handle DMs — including where the other option is genuinely the better choice.
Every approach below solves part of the problem. The question is which part your DMs actually need solving. We build two things — Managed Automation, which is rule-based, and AI Agent Automation — so the honest answer is sometimes the cheaper one, and sometimes neither.
ManyChat is a widely used, capable DM automation platform. You build flows in a visual builder — keywords, buttons, branches, tags — and it runs them on your messaging channels. It also offers AI features, and how far those go depends on the plan and how you configure them. For structured, predictable journeys it's a legitimate and often excellent choice.
When most of your DMs are the same handful of questions — price, what's included, do I need a gym — a well-built flow answers them perfectly, consistently and cheaply. Buttons are hard to misread. Keyword triggers and comment automations are reliable.
We don't simply sell ManyChat. We build and manage the overall DM conversation system around your coaching business. That work takes two forms:
| What matters | Doing it yourself on ManyChat | Ayush AI Automation |
|---|---|---|
| Who builds it | You do, in the visual builder | We design, configure, test and launch it |
| Who maintains it | You do | We do — monitoring, fixes and tuning are part of the monthly service |
| Unexpected messages | Handled by the branches you built, or a fallback | Managed: configured fallback. AI Agent: answered from your knowledge |
| Qualification | Button or keyword branches you build | Managed: structured flow. AI Agent: conversational, one question at a time, answers locked |
| Coaching-specific design | Up to you | Built around the F.I.T. Framework and your offer |
| Lead records | Contacts and tags you set up | Structured lead records with qualification answers and status |
| Voice notes | Depends on your setup | Understood on Business and Fusion Max |
| Platform subscription | Paid by you | Managed: paid by you, directly. AI Agent: none |
If you enjoy building flows and your DMs are predictable, running ManyChat yourself may be all you need. If you want the system designed, run and adapted for you — or your leads write things no flow anticipates — that's where we come in.
Low-cost AI reply tools generate a sensible-sounding reply to each message. For acknowledging DMs, that can be enough. But a reply isn't the same as a lead-conversation system. Where these tools tend to stop:
What you get here instead is an agent configured around your business, with structured qualification, answer locking, lead records, follow-ups and human handoff — built, hosted, monitored and maintained for you.
Instant DM tools do one thing fast: send an automatic reply, or a keyword- or comment-triggered DM — usually a link or a lead magnet. They're good at speed and delivery, and some coaches need nothing more.
The gap is everything after that first message. An instant reply doesn't hold a conversation, remember what a lead said, qualify them, follow up when they go quiet, or hand over cleanly to you. On our Instagram products, Comment → DM covers the instant part — a public reply plus a private DM — and the agent then carries the conversation from there. It's included at no extra cost.
This is the core architectural difference, and it's why we sell both.
Follows predefined paths. Given a message it recognises, it responds perfectly and consistently every time. Given something unexpected, it falls back to a catch-all. Predictable, cheaper and easy to reason about.
Reads what the lead actually wrote and answers from your knowledge. Handles messy answers and questions nobody scripted, while staying inside the boundaries you set. More capable with variable conversations, with an ongoing AI and infrastructure cost.
Neither is universally better. The difference is architectural, not a verdict that one tool is useless.
A good setter or virtual assistant brings real human judgement, and for complex or sensitive conversations a person is genuinely better. Many coaches use both. The practical differences are in the operating model:
| Operating factor | Human setter / VA | Managed AI system |
|---|---|---|
| Hours | Set hours — the 1am DM waits until morning | Replies automatically, day or night |
| Consistency | Wording and speed vary between people and across a shift | Same knowledge, tone and qualification every time |
| Follow-ups | Depend on someone remembering | Configured sequences that cancel when the lead replies |
| Cost model | A recurring salary that grows with volume | A fixed setup fee plus a monthly service fee |
| Judgement | Strong — reads nuance and handles sensitive situations | Stays inside your knowledge and hands over when a person is needed |
| Overhead | Hiring, training and turnover | Configuration and maintenance handled for you |
The common setup is both: the system handles volume, qualification and follow-up, and a person — you or your setter — takes over the conversations that need one, through human handoff and hot lead alerts.
Both are built and managed for you. They're different kinds of system.
| Managed Automation | AI Agent Automation | |
|---|---|---|
| Behaviour | Follows predefined paths | Reads what the lead actually wrote |
| Unexpected message | Catch-all fallback | Answers from your business knowledge and adapts |
| Qualification | Rule-driven (Growth and Combo) | Conversational, answers locked once given |
| Personalisation | Limited to the branches built | Configured around your programs, pricing, tone and objections |
| Platform cost | Separate subscription paid by you | None — AI usage and infrastructure are in the monthly fee |
| Right when | Most enquiries are the same five questions | Leads write in full sentences and ask things you can't anticipate |
The deeper explanation of the two approaches is in Learn, and every plan is on the pricing page.
An AI Agent system becomes useful when the work in your DMs changes shape, not just size. Signs it may fit:
DMs arrive faster than you can answer well, and good leads wait hours.
You ask the same goal, timeline and readiness questions dozens of times a week.
Quiet leads go cold because nobody remembers to follow up.
Leads write full sentences, raise objections and ask things no keyword catches.
You want to walk into calls already knowing goal, timeline and history.
Leads start on Instagram and finish on WhatsApp, and shouldn't have to repeat themselves.
| Your situation | Usually fits |
|---|---|
| Repeated "how much / what's included", no qualification needed yet | Basic, or Managed Starter |
| Instagram leads you need qualified and followed up | Pro |
| Voice-heavy audience or a higher-ticket offer | Business |
| Enquiries arrive on WhatsApp | WhatsApp Personal Assistant |
| Instagram discovery, WhatsApp booking | Fusion |
| Both channels, with voice notes and AI-written follow-ups | Fusion Max |
| Mostly predictable questions, lowest cost | Managed Automation |
If you're unsure, that's what the free strategy call is for. The recommendation can be the cheaper plan, or nothing yet.
No. Managed Automation may use platforms such as ManyChat where a structured flow is the right tool, and the platform subscription is paid by you, directly to that platform. What you're paying us for is designing, building and managing the conversation system. AI Agent Automation is a separate system we configure and run, with no third-party platform subscription for you to manage.
You can, and some coaches do. The trade-off is time and upkeep: designing the qualification, writing the flows, testing edge cases, and fixing things when platforms change. A managed service takes that off your plate, but it costs more than a subscription alone.
It takes over the repetitive part: answering the same questions, qualifying and following up. A good human is still better for sensitive or complex conversations, which is why every AI product hands over to you whenever a lead asks for a person.
If your enquiries are mostly the same few questions, Managed Automation. If your volume is still very low, possibly nothing yet. Handling DMs promptly by hand, with a consistent follow-up habit, already goes a long way. The free DM handling guide covers that.
Twenty minutes, free, no pitch — including when the answer is the cheaper option.
